IT support for clinics that keeps patient information safe and the front desk running

Physio, dental, chiropractic, massage and wellness clinics run on a handful of front-desk computers, a booking system, a payment terminal and Wi-Fi. When any of them stops, patients wait. When patient information leaks, trust is hard to win back.

We look after the computers, network, accounts and backups around your clinic so your team can focus on patients. We work alongside your practice-management software vendor; we don't replace it.

What We See Most

The three biggest IT problems for clinics

Problem 1

Protecting patient information

Clinics hold health records, contact details and payment information. Nova Scotia's Personal Health Information Act (PHIA) and the federal PIPEDA set expectations for how that information is safeguarded. Shared logins, unencrypted laptops and old accounts for staff who have left are common gaps.

Problem 2

Front-desk computers that slow everyone down

Reception computers are shared by several people, left logged in, rarely updated and often years old. A slow or infected front-desk PC holds up check-in, charting and billing for the whole clinic.

Problem 3

Unreliable Wi-Fi and no tested backups

Cloud booking, online intake forms and payment terminals all depend on the network. Consumer-grade Wi-Fi drops out, and patient Wi-Fi often shares the same network as clinic computers. Many clinics also assume their data is backed up without ever having tested a restore.

Our Approach

How we solve them

Practical safeguards sized for a small clinic, set up once and then looked after every month.

1
Privacy safeguards you can explain

Individual logins for every staff member, multi-factor authentication, encrypted laptops, automatic screen locks, quick lockout when someone leaves, and written privacy and security policies you can show when asked how patient information is protected.

2
Managed front-desk computers

Monitoring, automatic updates, endpoint protection and a simple replacement plan for aging machines. We coordinate with your practice-management vendor when their software needs an update, a new workstation or troubleshooting.

3
Business-grade Wi-Fi and tested backups

A separate guest network for patients, a stable network for booking and payment systems, and encrypted, tamper-proof backups stored in Canada with a quarterly restore test so you know recovery actually works.

Plan Recommendation

Which IT plan fits a clinic? IT Secure.

Because clinics handle personal health information, we recommend IT Secure for most practices. It adds the safeguards and documentation that matter most when patient data is involved.

  • ✓IT Secure ($189/user/month) — recommended: Everything in IT Complete, plus 24/7 managed threat detection, tamper-proof backups with a quarterly restore test, written privacy and security policies, an incident response plan, an after-hours emergency line and an annual security assessment.
  • ✓IT Complete ($139/user/month): A reasonable starting point for very small practices with limited patient data stored locally: on-site visits, network and Wi-Fi management, and daily cloud backups.

5-user minimum per plan (IT Essentials $445, IT Complete $695, IT Secure $945 per month for smaller teams). Prices in CAD plus HST.

Where Big Tech alternatives help

Your clinical and booking software stays exactly where it is. Alternatives help with the office tools around it.

Instead of Consider Why it helps here
Shared passwords in a notebook or spreadsheet Vaultwarden password manager Each staff member gets their own vault; shared clinic logins live in a controlled collection you can revoke when someone leaves.
Google Drive or Dropbox for clinic documents Nextcloud (Canadian-hosted) Policies, forms and admin files stay on storage you control in Canada, with per-folder permissions and an audit trail.
Gmail or Outlook consumer accounts Fastmail business email Professional email on your own domain with multi-factor authentication, without the ad-supported consumer accounts some small clinics still use.
Binders of front-desk procedures BookStack clinic wiki Opening and closing checklists, privacy procedures and "how do I..." guides in one searchable place for new staff.

You don't have to switch everything at once, or at all. We only recommend a change when the numbers and the day-to-day experience both work for you. See all Big Tech alternatives →

Good to Know

We work alongside your practice-management software vendor; we don't replace it. Your charting, scheduling and billing system stays in place, and we handle the computers, network, accounts and backups around it.

We're not lawyers; for compliance obligations, confirm with your regulator or legal advisor. We help put practical technical safeguards and documentation in place, but your professional college, the Nova Scotia privacy authorities or your legal advisor can confirm what applies to your practice.

Clear Answers

Frequently Asked Questions

Common questions from clinic owners and office managers.

Do you replace our practice-management or booking software? +

No. We work alongside your practice-management software vendor; we don't replace it. We look after the computers, network, accounts and backups around it, and we coordinate with the vendor when their software needs updates, a new workstation or troubleshooting.

Will you make our clinic PHIA and PIPEDA compliant? +

We put practical technical safeguards in place, such as individual logins, multi-factor authentication, encryption, tested backups and written security policies, that support your privacy obligations. We're not lawyers; for compliance obligations, confirm with your regulator or legal advisor.

Can patients use our Wi-Fi safely? +

Yes. We set up a separate guest network for patients so their devices never share a network with your front-desk computers, payment terminals or clinical equipment.

Where are our backups stored? +

Backups are encrypted and stored in Canadian data centres. On IT Secure they are tamper-proof, so ransomware cannot delete them, and we run a restore test every quarter.

We only have three staff. Is IT Secure overkill? +

Plans have a 5-user minimum per plan (IT Essentials $445, IT Complete $695, IT Secure $945 per month for smaller teams). For a small clinic holding patient records, the added safeguards in IT Secure are usually worth it. We can walk through the options at a Free IT and Security Checkup.
